Employee Classifications

1. What do I need to know about Employee Classifications and how they apply to the review process?

Faculty (1) 
Temp Faculty (3)

1. Are not part of the formal review process

2. Will feed to SuccessFactors if they supervise employees who are part of the formal review process

3. Need to be included in the Arbor only if they supervise other employees who receive reviews
Classified (4) 
Unclassified  Non-Faculty (A)
1. Are part of the formal review process
  
2. The Universal annual review cycle is from 8/1 – 7/31.  All reviews are due on 8/1 of the next calendar year
 
3. Planning stages are due on 11/1 for all employees on the annual review cycle
 
4. Employees who complete their probationary/trial period will receive reviews for both the probationary/trial period as well as an annual catch up review to align them with the annual 8/1 - 7/31 review periods 

Temp Non-Faculty (6)  Research Grants (B,D,E,F)

1. Are part of the formal review process 

2. Are not placed in Trial or Probationary reviews 

3. For all newly hired employees reviews are done for the universal review cycle (8/1/ - 7/31) depending on when the employee is hired.  (See Below) 

4. For any employee hired prior to 8/1 - 4/1, they will receive a review due on 8/1 of the current year. Two examples are:
    
     o An employee hired on 9/15/2008.  The review period will run from 9/15/2008 to 7/31/2009 with the review due on 8/1/2009
    
     o An employee hired on 2/1/2009 will be reviewed from 2/1/2009 to 7/31/2009 with the review due on 8/1/2009

5. Employees hired on or after 4/1 to 8/1 will receive a review on 8/1 of the next year. Their review period will be slightly longer than 12 months.  For example: 
   
     o An employee hired on 5/1/2009 will be reviewed from 5/1/2009 – 7/31/2010 with the review due on 8/1/2010.
Post TERI/Retiree Employees 1. Post TERI/Retiree employees who were in a Classified (4) or Unclassified Non-Faculty (A) position prior to their change in status to a  temporary position:  

     o Will be classified as Temp Non-Faculty (3) Employees  

     o The position number will be changed to reflect the change in classification and that they no longer hold a state FTE position   

     o There will be no change in their current review cycle and will remain on the 8/1 to 7/31 universal review cycle  

     o Please be sure to add them to the Arbor

2. Post TERI/Retiree employees who were in a Faculty (1)  position prior to their change in status to a temporary position:  

     o Will be classified as Temp Faculty (3) Employees 

     o Their position number will be changed to reflect the change in classification and that they no longer hold a state FTE position  

     o Are not part of the of the formal review process  

     o Only add to the Arbor if they are supervising other employees who are part of the formal review process
Residents (R)
Students (7)
1. Are not part of the formal review process 

2. Will not feed to SuccessFactors 

3. Please do not include in the Arbor
Probationary  Employees 




Only applies to employees in Classified or Unclassified Non-Faculty positions
1. Employees who have never held a state FTE position at MUSC or at another State institution or has not completed a 12-month probationary period or has not had a break-in-service > 15 days will receive a probationary review 

2. The Probationary review will be due one year from the date of hire    

3. For detailed information please refer to Policy 16 on the HR website 

4. A catch-up review will need to be completed to align the employees review cycle with the annual universal review cycle    

     o Example:   Employee Hired 9/15/2009.  Probationary review is due 9/15/2010.  The catch-up review will be from 9/15/2010 to 7/31/2011 due on 8/1/2011  

Trial Employees 




Only applies to employees in Classified or Unclassified Non-Faculty positions

1. Employees who have held a state FTE position at MUSC or at another State institution and have completed a 12-month probationary period and has not had a break-in-service > 15 days 

2. Employees generally enter into a trial review status when being promoted or reclassified   

3. The trial period is for 6 months at which time the review is due

4. An extension may be granted prior to the end of the six     
month trial period. Please contact HR for guidance

5. A catch-up review will need to be complete to align the        employee review cycle with the annual review cycle

o Example: Employee enters into a trial period after being promoted and reclassified. The start date fo the trial is 9/15/2009. The trial review is due on March 15, 2010 - 7/31/2010, due on 8/01/2010

Employees  On LOA 1. The review period will be extended for each day over 30 days that the employee is out on an LOA 

2. Contact HR for guidance 
Disciplinary  or  Substandard Performance  Review 1. Will be done on paper

2. Contact HR for guidance
